Description:
Imagine you are an administrator for a company using Collaborate service and you need to update the details of a group, remove a member, and handle the associated Floating Cloud Licenses. You are also contemplating what happens to the group's licenses if you decide to delete it. How can you effectively manage these tasks to ensure your licenses are properly handled and your group details are up to date?
Solution:
Starting July 10, 2024, subscribers to the Collaborate service will gain access to the Floating License feature. This enhancement offers a new level of flexibility in managing licenses within your organization.
- Group Management
Administrators or contract managers have the authority to modify and delete company groups at any time. This can be done by selecting the "Edit Details" option, which allows updates to the group name and description.
Membership within these groups is restricted to individuals with a Graphisoft ID associated with the company. To manage group composition, members can be added or removed using the respective options: "Add to Group" and "Remove from Group."
- Handling Floating Cloud Licenses
When a member utilizing a Floating Cloud License is removed from a group, the license is automatically returned and becomes available for reassignment to other members within the same group. Notably, even if the last member of a group is removed, the group itself remains intact. An empty group can still retain Floating Cloud Licenses, which can be reassigned as needed.
- Group Membership Recommendations
Although a Graphisoft ID account can belong to multiple groups within the same company, it is advisable to assign each account to only one group to streamline management.
- Deleting Groups
To delete a group, use the "Delete Group" option. If a group with existing members and/or assigned licenses is deleted, those members and their licenses are removed from the group. The Floating Cloud Licenses previously associated with the deleted group are then made available for reassignment to other groups or Graphisoft ID accounts.
Understanding and utilizing these features allows administrators to effectively manage Floating Cloud Licenses and group memberships, optimizing their organization's use of Collaborate.
